Workspace Owner

The Workspace Owner manages a single workspace - its members, roles, and overall configuration.

What can a Workspace Owner do?

  • Invite new members to the workspace (existing users and new users via email)
  • Change member roles (Trainer, Reviewer, Learner)
  • Remove members from the workspace (single or bulk)
  • Create and manage courses, assignments, and groups - including duplicating courses and working with templates
  • Publish courses to the Marketplace for other workspaces to lease, and lease or purchase content from the Marketplace into your workspace
  • Manage your billing and subscription (plan, seats, invoices)
  • See AI spend for the workspace under Analytics → AI Cost - total cost, with breakdowns by feature, model, course, and user
  • Configure workspace-wide settings: identity, theme, integrations, tags, AI defaults, audit trail, Branding Intro
  • Moderate the Forum - manage categories and the tag allowlist, and pin, lock, or hide threads or individual posts
  • Use Ask Aimee - the topbar navigation assistant - to find any screen in the workspace
  • Delete groups (when not actively in use)
  • View the dashboard with workspace-wide metrics, including any pending course updates
  • Access all Trainer and Reviewer capabilities

Managing members

Navigate to Members in the sidebar.

Invite members

  1. Click Invite Members in the top-right
  2. Enter one or more email addresses (one per line, or separated by commas)
  3. Select a role from the dropdown
  4. Click Send Invitations

For existing users: They're added immediately with "Pending" status and notified by email. Their status updates to "Accepted" on their next login.

For new users: They receive an email with a signup link. After creating their account, they're automatically added to the workspace.

Change a member's role

  1. Find the member in the member list (use the search bar to filter)
  2. Click the role dropdown next to their name
  3. Select the new role

Warning

Workspace Owners cannot assign the Admin role. Only existing Admins can promote users to Admin. This prevents privilege escalation.

Remove members

Single: Click the trash icon (🗑️) on their row → confirm in the modal.

Bulk: Select members with checkboxes → click Remove (N) → confirm.

Note

You cannot remove yourself (the Workspace Owner) from the workspace.

Managing your profile

Click your avatar in the top-right of any page and choose Profile. The Profile page has three tabs - Profile (name, email, username, avatar image), Security (password), and Preferences (timezone). Edit the field you want and Save.

Day-to-day workflow

  1. Set up the team - invite trainers, reviewers, and learners via email
  2. Delegate content creation - trainers handle courses and rubrics
  3. Top up your library - browse the Marketplace to lease or purchase ready-made courses and learning paths from other workspaces
  4. Share what you build - list your own finished courses on the Marketplace for other workspaces to use
  5. Monitor progress - check the dashboard for completion rates and any Course Updates Available
  6. Manage groups - organize learners into training batches
  7. Watch your usage - review seats, storage, and your monthly AI-session usage on the Billing tab of Workspace Settings; check Analytics → AI Cost for the full spend breakdown so you're not surprised by limits
